Zapier Integration
Zapier connects CallMyBusiness.ai to tools we do not integrate with directly. If your CRM, spreadsheet, or project tool is on Zapier, captured leads can reach it without custom development.
When to Use Zapier
Use the direct integration where one exists — HubSpot and Google Calendar are supported natively and will always be more reliable. Reach for Zapier when you need:
- A CRM we do not support directly
- Rows appended to Google Sheets or Airtable
- Notifications into Slack or Microsoft Teams
- Jobs created in field-service or project tools
- Several destinations fed from one call
Connecting
- Go to Dashboard → Integrations and open Zapier
- Copy the connection credentials shown
- In Zapier, create a new Zap and choose CallMyBusiness.ai as the trigger app
- Paste your credentials to authenticate
- Select a trigger event and pick a sample call to test against
💡 Tip: Run the Zapier test step with a real completed call rather than placeholder data. Field mapping errors are far easier to spot against real values.
Mapping Fields
Map deliberately rather than accepting defaults. The fields worth attention:
- Caller name and phone — phone is the reliable identifier; names are transcribed and can be misheard
- Service requested — the field most often used for routing downstream
- Lead score — useful as a filter condition
- Transcript — long text; confirm your destination field will not truncate it
- Call timestamp — check timezone handling on the receiving end
⚠ Note: Add a Zapier filter step so only the leads you care about flow through. Sending every call including wrong numbers into a CRM creates cleanup work that outweighs the automation.
Testing Before You Rely On It
Turn the Zap on, place a real test call, and confirm the record arrives correctly formatted. Then check Zapier's task history after your first busy day — silent failures usually show up there first.
✓ Success: A well-built Zap is boring: it runs, the record lands in the right place, and nobody thinks about it again.
